Payment & Session Policies

Payment 

Payment is required 24 hours before a session. If the payment hasn't been made 2 hours before the session, the session will be canceled and a new session would need to be made by the client. 


ALL CANCELLATIONS

For all cancellations, please notify via email at support@unalometraumatherapy.com or via text (931) 249-5138. Three cancellations in a row will no longer be able to schedule appointments without payment upfront. Please review other cancellation policies/disclaimers below.


CANCELLATION LESS THAN 24 HOURS

If a payment for a session has already been made and a last minute emergency cancellation is needed that is less than 24 hours from the session, the client will be charged a $25.00 cancellation fee. The remainder of the balance of the session will be reimbursed or can be put towards the next session scheduled. Please let us know when cancelling which is preferred.


CANCELLATION MORE THAN 24 HOURS

If payment has already been made, payment will be moved to the next session that is set up by the client at no additional cost. If it has not been made yet, payment will be required to be able to reschedule. 


NO SHOW

First time, free sessions that are cancelled by no-show will be charged a $25.00 fee to reschedule a new session. Any other no-shows will not receive a refund for their appointment.

You are considered a “No-Show” after you have not responded to requests to join the session within fifteen minutes. Joining the session after this time is not allowed without discussing this with the therapist and the session will not be prorated.  

Clients that no-show 3 sessions in a row, will no longer be able to schedule appointments and will need to contact us at support@unalometraumatherapy.com for any future requests for services. Any future cancellations or no-shows after the three will not be refunded for any reason.


THERAPIST CANCELLATION

If the therapist will be more than ten minutes late, the full time will be granted to the client and notice will be communicated as soon as possible. If the therapist needs to cancel the session due to an emergency or illness, they will reach out to the client as soon as possible to reschedule or provide a refund for the session if requested.


SLIDING SCALE PAYMENT

Sliding scale payment will be reviewed every 6 months and are only granted on a case by case basis.


HSA/FSA PAYMENTS

Although we can't take HSA/FSA payments at this time, any chargebacks by the insurance company will be the clients responsibility. We can provide an invoice for services that the client can turn into their insurance provider, at their request. Please provide 48 hours to fulfill this type of request. 

 

Sessions

SESSION TIME

All standard sessions are 60 minutes long. If more time is needed, 90 minute (One and a half hours) or 120 minute (2 hours) sessions can be scheduled at an additional cost. Please email with this type of request to support@unalometraumatherapy.com or text (931) 249-5138 at least 48 hours before the session so that it can be reviewed and the client will be notified with options.

Any sessions that go more than 15 minutes past the 60 minutes standard session (that have not been previously scheduled that way) will be billed an additional fee of $35 every 30 minutes to be paid within thirty days.

Anyone arriving late for sessions will be able to continue within the amount of time scheduled.  Additional time cannot be approved since it may be impacting clients scheduled in the following hours after your scheduled appointment. 


SESSION TYPES

Sessions are conducted in-person or via virtual session through Google Meets at this time. Teams meetings can be requested, but only in 60 minute increments. If you would prefer a session conducted by phone call, you will need to contact us by email or text to request this. Session price will be the same as in-person and virtual sessions. Phone sessions will be scheduled as “Virtual Session” on the calendar.


MEMBERSHIPS

Holidays including Thanksgiving, Christmas and 4th of July are included in the monthly cost of the membership to offset months with 5 weeks in them.

Any time off taken by a therapist or client that can affect the monthly membership will be prorated for the month. The client will need to email us at support@unalometraumatherapy.com before the billing month (1st day of the month) to inform of any upcoming vacations. Any vacation plans made after the first of the month will need to be discussed with the therapist to determine a prorated amount.
